Description:
Event Coordinator - Part time contract basis
Pay is negotiable depending on experience and event needs.
The Event Coordinator is responsible for the detailed execution of events, ensuring they meet objectives and run smoothly. This includes managing logistics, staying under budget, maintaining communications with staff, vendors, entertainment, and volunteers.The role also handles on-site event management, problem-solving, and post-event evaluations.
Duties include but are not limited to: Pre-Event Planning
- Planning and Approval - Understand event requirements, execute theme and detail determined by Capernaum Studios staff. Meet with leadership to review event details and obtain approval.
- Budget Management - Manage event budgets by tracking expenses, and ensuring events stay within financial constraints.
- Vendor Management - Source, negotiate with, and maintain relationships with various vendors such as caterers, decorators, and entertainment providers.
- Logistics Coordination - Coordinate event logistics including guest lists, décor, signage, catering, and any other necessary arrangements.
- Communication and Coordination - Maintain regular communication with staff, vendors, and other stakeholders, ensuring everyone is informed and aligned.
- Staffing and Scheduling - Training and overseeing event staff, volunteers, and other personnel, and creating event schedules and timelines.
- Marketing and Promotion - Collaborating with the marketing team to promote the event and assist the team with creating marketing materials as needed.
On-Site Event Management:
- Event Setup and Coordination - Overseeing the setup of the event venue, ensuring it meets the event's requirements and standards.
- Guest Management - Welcome guests, manage registration and check-in process, aid guests, and provide information.
- Problem-Solving - Addressing any issues or challenges that arise during the event and finding timely solutions.
- Vendor Management and Support - Serving as the main point of contact for vendors, ensuring their needs are met and coordinating their services.
- Overall Event Supervision - Monitoring the event's progress, ensuring it runs smoothly, and adjusting as needed.
- Event Wrap Process - Oversee event clean up and return of any supplies and or rented items.
Post-Event:
- Event Evaluation: Assessing the success of the event, gathering feedback from attendees and stakeholders, and preparing reports.
- Relationship Management: Maintaining relationships with clients and vendors for future events.
